Mastering the PEM Solutions Student Upload

Elementary Students

  1. Import the following student demographic data:
  2. Click Select Online Tests. Check the Administer checkbox for all test--online and paper-based--that you administer to your elementary students. Check the Online checkbox for the subset of those tests you want to deliver online. Make sure the Grade field matches the grade in which you deliver the online and paper-based tests.
  3. Click Load Students. This takes all the students you imported and creates test records for each student, based on the tests you selected in the previous step. These test records are stored in the table named tblExport.
  4. If you need to add any groups that weren't part of your import, click Edit Groups and add the group name(s). Valid characters are A-Z, a-z, 0-9 and spaces. Maximum length is 20 characters.
  5. Click Edit Students and enter the following as necessary:
  6. Click Create Export File. Take note of where the Wizard saves the file. Upload that file to PEM Solutions.

Middle School and High School Students

This procedure assumes you use scheduling with your middle school students. In this procedure, you will import student demographic information and course schedules from your student information system.

  1. Run a query that exports the following information for each student:
  2. Click Import Students to load the student demographic data into tblImport.
  3. Run another query to extract the following from your course scheduling system:
  4. Click Import Sections to load that information into tblSections.
  5. Click View Sections to view the information you just loaded. Check the sections you are going to test. Note that the Sections form is set to filter out sections for courses whose course number is less than 1000.
  6. Click Link Courses to Tests. Make sure that your course numbers match the EOC state test codes.
  7. Click the Fix Career Tech button. This button performs the following:
    1. Clears any values that may be left over from previous operations in the table tblCareerTechValue1.
    2. Steps through the student demographic and schedule information you imported and creates a non-duplicate list of students who are taking a career-tech course during the current semester. Stores this list in tblCareerTechValue1.
    3. Runs a query that matches the list stored in tblCareerTechValue1 to the information in tblImport. For any matches, changes the value in the Career/Tech Ed Course & Tech Prep Program to 1 (Career/Tech Ed Course only) unless the student is flagged as enrolled in a Tech Prep program, in which case it changes the value to 2.
    4. Click Load Students. This takes all the students you imported and creates test records for each student, based on the sections you marked in previous steps. These test records are stored in the table named tblExport.
    5. If you need to add any groups that weren't part of your import, click Edit Groups and add the group name(s). Valid characters are A-Z, a-z, 0-9 and spaces. Maximum length is 20 characters.
    6. If you need to add test records for retests or other miscellaneous reasons, click Add Misc Students. The Add Misc Students form contains test record for each student. The student demographic information is already in place. All you have to do is check the box beside the student(s) you want to add, select the test and group to which the student is to be assigned, and click the Close button. If you have to assign more than one test to the same student, repeat the procedure.
    7. Click Edit Students and enter the following as necessary:

    9. AYP Adjustments
    10. Remediation Recovery
    11. Retest Status
    12. D-Code Status
    13. LEP Exempt Status
    14. Term Graduate Status
    15. Click Create Export File. Take note of where the Wizard saves the file. Upload that file to PEM Solutions.
